1. Data controller

Briljans ("we") is the data controller for the processing of personal data in the Tolka Live service and on tolkalive.se. Contact us at [email protected].

2. What data we process

• Account data – email address, name/organisation and password (stored hashed).
• License and usage data – license key, chosen plan, translation hours used, and a technical device identifier used to limit the free trial to once per computer.
• Payment data – payments are handled by our payment provider [payment provider]. We never see or store full card details.
• Support communication – emails you send us.

3. Audio and translations

When the app is in use, audio from your microphone is sent to our cloud providers for real-time transcription and translation. Audio and text are used solely to deliver the service – never for marketing. [Audio is not stored permanently by us – verify and describe provider retention per your data processing agreements.]

4. Purposes and legal bases

• Delivering the service (account, license, translation, support) – performance of contract.
• Invoicing and bookkeeping – legal obligation.
• Improving the service and preventing abuse (e.g. trial limits) – legitimate interest.

5. Who we share data with

We never sell personal data. Data is shared only with processors required to run the service:

• Cloud providers for speech-to-text and translation [list providers].
• Payment provider [list provider].
• Hosting and infrastructure providers (including Cloudflare).
• Google (Google Ads) for ad measurement – only with your consent, see section 8.

Where data is transferred outside the EU/EEA, valid transfer mechanisms are used (e.g. EU Standard Contractual Clauses).

6. Retention

• Account data – for as long as the account is active and up to [12 months] thereafter.
• Accounting records – 7 years as required by the Swedish Bookkeeping Act.

7. Your rights

You have the right to request access to, rectification of, and erasure of your personal data, as well as data portability and objection to certain processing. Contact [email protected]. You may also lodge a complaint with the Swedish Authority for Privacy Protection (IMY) or your local supervisory authority.

8. Cookies and local storage

Strictly necessary storage: we use necessary local storage to keep you signed in to the portal and to remember your cookie choice and language preference.

Marketing (requires consent): with your consent we use Google Ads to measure how well our ads perform (conversion measurement and remarketing). This sets cookies and may share an encrypted (hashed) version of your email address with Google when you complete a purchase (Google "Enhanced Conversions"). We use Google Consent Mode: no marketing cookies load until you click "Accept" in the cookie banner. You can change your choice at any time via the Cookies link at the bottom of the page. Legal basis: consent.

We may update this policy. Material changes are announced by email or in the portal. The latest version is always available on this page.
